Frequently Asked Questions

 
  • We do not charge for mileage when our guests stay within the region: Montana, Idaho and Wyoming (the Northern Rocky Mountains). Each rental includes 200 miles per day which accounts for any travel within this region.

    For long distance travel, such as to Canada, Washington or Colorado, a small mileage fee will be assessed after your return. That fee is .33 per mile.

    For example, an additional 500 miles would incur a $165 mileage fee.

  • Our flat delivery rate to Bozeman, the Bozeman Yellowstone International Airport, and surrounding areas is $200. This includes delivery to your address and pickup upon your return.

    Please note that Uber services can be unreliable at times. It’s usually easy to Uber into Bozeman proper but that isn’t the case for Livingston. Deliveries should be scheduled with our team in advance. If you did not schedule a delivery in advance, and are forced to drive the van to the airport because no Ubers are available, you will be responsible for airport parking charges. Bozeman airport premium parking is $15/day.

  • Vans are due back by 2pm on the day of your departure. Late returns can only be accommodated if there isn't a rental the following day. Unscheduled late returns may be subject to a $150 fee.

  • During summer high season, there is a three night minimum. If you're interested in a shorter stay, please inquire by email. In some cases, a shorter stay may incur a $150 cleaning fee.

    During low season (winter and spring), there is a two night minimum.

  • A minimum of 50% balance is required at the time of booking and the remaining amount is due 90 days out. If you need to cancel and your trip is more than 90 days out, you can receive a full refund. Between 90-30 days, we offer a 50% refund. If canceling your trip under 30 days from your departure date, there is no refund.

    In some cases, we offer flexibility with the payment and cancellation plan noted above if you rebook your dates immediately. However, note that re-bookings in summer season are challenging because of limited availability.

    During winter months (low season) our cancellation policy is more flexible. In the event of a cancellation, we will first work to reschedule your trip, but if that's not an option, we offer full refunds minus one nightly rate ($300). The amount retained covers our cleaning, detailing and insurance costs. We appreciate your understanding.

    • Late returns - Vans are due back by 2pm on the last day of your reservation. We are happy to accomodate late returns if there isn’t a rental the following day. Late returns should be scheduled prior to your departure.

    • Refueling - This charge applies to any van that is returned without a full tank. We send vans out full and they should be returned full. The refueling fee is the cost of diesel plus 10%.

    • Mileage - We reserve the right to charge a mileage fee for guests who travel beyond Montana, Idaho and Wyoming. Mileage is calculated at .33 per mile so approximately $165 for 500 additional miles. Any long distance trips should be discussed with our team prior to your departure. We will provide an estimate and the card on file will be charged upon your return.

  • Our vans take DIESEL fuel. We send them out with a full tank and they should be returned with a full tank.

  • You can take all three of our vans on the Going-to-the-Sun Road in Glacier National Park. Gaucho is a 2006 MB Sprinter 158"WB at 21 feet long and 10 feet tall. Vaquera and Poncho are 2022 MB Sprinter 144"WB at 19 feet long and 10 feet tall.

  • Our vans include a 200 amp hour battery capacity. They are completely self-contained meaning they do not require an outside power source or any other hookups. You should, however, plan to recharge it daily either by making sure you’re parked in partial or full sun (enough to catch some ambient light) OR by driving it around which also recharges the battery. It’s important that you do not charge the solar battery by idling in place.

  • The freshwater capacity varies in each van. During the walkthrough, we'll show you how to refill your water tank should you need it.

  • Vaquera and Poncho utilize a diesel engine loop system for heating. This means if you have gas, you have heat, so make sure you fill up your tank when cooler temperatures are expected.

    Gaucho has a 25 lb. propane tank which lasts for weeks in the summer. During the winter, it typically suffices for four days before requiring a refill. Utilizing the insulated window coverings is essential for preserving propane on cold fall evenings. You can refill Gaucho's propane at most hardware stores or some gas stations. We fill the tank before every rental.
